At 4 a.m., the spotlights light up in the studios. Still slightly sleepy, the cameramen set up their pictures, the texts on the teleprompter are updated, in the control room the technicians check the signals, and the online platform goes live: These are the final preparations for the Corporate Lodging Forum CLF of the HRS Group.

CLF – global driver of ideas

HRS offers holistic end-to-end hotel purchasing,booking and lodging solutions for corporate clients worldwide. The company founded the Corporate Lodging Forum in 2013 and has organized the event series every year since then on all five continents. CLF is the conference for decision makers from corporate lodging as well as the hotel industry. The forum is a driver of ideas, trends, strategies and tactics for global developments in the travel and hospitality market.

The Corona pandemic slowed, but did not stop, the plans for the eighth conference series. The HRS team, led by Managing Director Tobias Ragge, realized early on that CLF would need to explore new avenues to stay in touch and dialogue with procurement managers, travel and expense managers and hospitality professionals in 2020. The team decided on a digital conference. The event managers, marketing and digital experts developed a concept as the basis for a virtual event in three time zones.

The first online-based Global CLF explored, among other things, the question of what business travel will look like in the future. Experts and professionals from around the world discussed what business travel will look like with and after Covid19, whether and how face-to-face meetings will be possible in the “safe space” of hotels and the hospitality industry, how to ensure the safety of travelers, and how to keep costs under control for companies in the future.

For the first digital Global CLF, HRS looked for a partner. NEYROO supported the planning, preparation and realization of the online conference with consulting and know-how. NEYROO advised the HRS team and synchronized the various conference sessions, each of which was broadcast live and in real time to three regions of the world – Europe, the Middle East and Africa, as well as the Asia-Pacific region and North and South America.

NEYROO network partners LA CONCEPT and weitwinkelmedia provided the technical infrastructure with studios, backdrops, cameras, lighting and direction, and ensured that the more than 750 guests at Global CLF 2020 could interactively participate in the digital panel discussions, keynotes and talks.

The results and feedback from participants, speakers and the HRS team show that digital events will continue to establish themselves as an important element in the communications and marketing mix in the future.
